Set your Quote Management Mode

Background

Select where your team manages quotes—either directly in Toolbx or in your ERP. This setting defines your single source of truth for quoting and ensures consistent data between systems.

Who is this for

• Dealers integrated with an ERP system.
• Admin users with access to Company Settings.

Before you start

• The default configuration is set to Toolbx-managed mode.
• Existing dealers will remain on the legacy flow until they choose one of the new options.
• If you select ERP-managed, the Quote Auto-Approval feature will be disabled.

How to enable

1. Go to Company Settings in Dealer Admin.
2. Select the Storefront tab.
3. Under Quotes > Quote Management Mode
4. Choose whether to:
   1. Manage Quotes on TOOLBX
      1. Update quotes in TOOLBX, send to the builder, and track progress. When a quote is closed, it is pushed to your ERP.
   2. Manage Quotes on ERP
      1. Quotes are pushed to your ERP once received and managed there. Updates in ERP will not sync back to TOOLBX.
5. Click Save.

What happens next

Manage Quotes on Toolbx

• Quotes are created, updated, and sent in Toolbx.
• Quotes are pushed to the ERP only when marked Closed (Won) or Closed (Lost).
• Users can perform all quote actions within Toolbx.
• Informational banners appear to remind users that quotes are managed in Toolbx.

Manage Quotes on ERP

• Quotes are pushed to the ERP when they are created.
• All updates and actions must occur within your ERP.
• Toolbx displays informational banners stating that quotes are managed in the ERP.
• Auto-Approval is disabled while this mode is active.

FAQs

Q: Can I switch modes later?
A: Yes, but coordinate timing with your ERP team to avoid sync issues.

Q: What happens to quotes created before I switch modes?
A: They remain in their original flow. New quotes will follow the new setting.

Q: Will auto-approval still work in ERP mode?
A: No. Auto-approval is only available when Toolbx manages quotes.
