Enable Auto-Approval on Quotes

What is Auto-Approval?

Auto-approval allows customers to generate and view quotes instantly from your storefront without needing manual price approval by your team. This provides a faster quoting experience for standard products while maintaining control over pricing and expiry periods.

Who is this for

  • Dealers who want their customers to create and auto-convert quotes to orders directly on their storefront.
  • Available for all dealers through Company Settings › Storefront.

Before you start

Make sure:

  • Your company is using the Toolbx-managed quote flow (auto-approval is not supported in ERP-managed mode).
  • You have access to Company Settings in Dealer Admin.
  • You’ve decided how many days quotes should remain valid before they expire.

How to enable Auto-Approval

  1. Go to Company Settings in Dealer Admin.
  2. Select the Storefront tab.
  3. Under Quotes, toggle ‘Should Accept Quotes Automatically’ to on.
  4. Enter the number of days a quote should remain valid before it expires.
  5. Click Save.

This configuration applies only to customer-created quotes that:

  • Contain standard (non-custom) products
  • Are for pickup only

What happens next

Once auto-approval is enabled:

  • Customers can create quotes directly from your storefront.
  • When a customer submits a quote, they’ll immediately receive a “Quote is Ready” email.
  • The quote becomes available right away in their Customer Portal, where they can review pricing and accept the quote to convert it to an order.
  • Pricing is valid until the set expiry date.
  • Dealers can still update quotes through Dealer Admin if necessary.

Quotes that include custom items or delivery will continue to require dealer approval through the standard quote flow.

Q: Can I still change an auto-approved quote?
A: Yes. You can update or edit an auto-approved quote directly in Dealer Admin.

Q: What happens if a customer adds a custom product?
A: The quote automatically switches to the dealer-approval flow so you can confirm pricing before it’s sent.

Q: Does this work for quotes with delivery?
A: No. Auto-approval applies only to pick up quotes with standard products.
